5s LIVE no show + cancellation policy

Effective Date: 30 August 2025
Applies to: All teams and participants in 5s LIVE leagues and events

1. Purpose

This policy ensures fairness, reliability, and smooth operation of all 5s LIVE leagues. Late cancellations and no-shows disrupt fixtures, waste venue time, and affect other teams’ experience.

By registering for a 5s LIVE league, all teams agree to this No-Show & Late Cancellation Policy as part of the Terms & Conditions.

2. Season Commitment

  • Registration constitutes a commitment to the full season, including attendance, payment, and participation in all scheduled fixtures.

  • Teams must play every match unless a legitimate reason for absence is communicated in advance.

3. Notification Requirements

  • Teams must provide at least 48 hours’ notice if unable to attend a scheduled fixture.

  • Cancellations must be made directly via email to info@5slive.co.uk or through your League Manager.

  • Failure to provide timely notice will be treated as a late cancellation.

4. Deposit System

Each team pays a £50 refundable deposit upon entry to the league. The deposit protects against non-attendance, disruption, and unpaid fees.

5. Goodwill & Penalty Structure

We understand that genuine emergencies occur, so the following fair-use structure applies:

1st no-show or late cancellation Goodwill Pass — no penalty applied. Given once per season at 5s LIVE’s discretion

2nd no-show or late cancellation £25 deducted from deposit. Remaining £25 held until season end

3rd no-show or late cancellation Full £50 deposit forfeited + possible removal from league. Replacement team may be added mid-season

6. Deposit Return

  • Teams that complete the full season and comply with attendance, conduct, and payment requirements will receive their remaining deposit in full within 10 business days of the final fixture.

  • Deposits are refunded to the original payer only.

7. Replacement & Removal

  • 5s LIVE reserves the right to remove or replace teams who repeatedly fail to attend fixtures.

  • Removal due to repeated absence or non-payment results in forfeiture of the entire deposit and any prepaid match fees.

8. Use of Forfeited Deposits

Deposits forfeited due to no-shows or cancellations may be retained to cover:

  • Referee fees

  • Venue hire costs

  • Filming and operational expenses

  • Replacement team administration

9. Fairness Statement

5s LIVE operates this policy to maintain fairness for all players and to ensure that leagues run on time, safely, and without disruption. We aim to be understanding of genuine circumstances and apply discretion where appropriate, but consistent attendance and communication are expected from every team.
