5s LIVE Terms and Conditions
5s LIVE: Master Terms & Conditions (Legally Binding & UK Compliant)
Effective Date: 30 August 2025
These Terms and Conditions form a legally binding agreement between you (“the Participant,” “Team Captain,” “Team,” or “Individual Player”) and 5s LIVE Ltd (“we,” “us,” “our”).
By registering, paying, or participating in any 5s LIVE event, you confirm that you have read, understood, and accepted these Terms & Conditions, our Player Waiver, and our Privacy Policy.
⚠️ Participation in any match – whether via individual registration or by joining a team – constitutes acceptance of these Terms. Players attending with a team are deemed to have accepted the Terms and Waiver through their Team Captain’s registration.
⛔ Age Restriction Notice
5s LIVE is strictly an 18+ league.
By registering, you confirm that all participants on your team are 18 years of age or older. We do not currently accept under-18s for participation under any circumstances due to safeguarding and insurance limitations.
SECTION A – REGISTRATION, PAYMENT & DEPOSIT POLICY

Season Commitment – By registering, your team agrees to attend every scheduled fixture and pay all match fees in full, regardless of unforeseen absences or player shortages. Registration constitutes a full-season commitment (typically 8–12 weeks, subject to scheduling).

Deposit Requirement – A £50 refundable deposit is required from each team to secure entry into the league.

Deposit Return – Deposits are refunded at the end of the season provided all attendance, payment, and conduct requirements are met.

No-Show & Late Cancellation Policy –
We recognise that unexpected circumstances can occur, so every team is entitled to one Goodwill Pass for a genuine first-time absence or late cancellation. However, repeated non-attendance disrupts the league and other teams, so the following penalties apply if less than 48 hours’ notice is given:-
First Offence: A one-time Goodwill Pass – no deduction will be made.

Second Offence: 50% (£25) of the team’s deposit will be forfeited.

Third Offence: The full £50 deposit will be forfeited, and the team may be suspended or permanently removed from the league at the discretion of 5s LIVE.

Deposit Forfeiture & Replacement – Once any portion of a deposit is forfeited, it cannot be replaced or topped up mid-season. Teams removed or suspended for repeated non-attendance are not entitled to any refund.

Use of Forfeited Deposits – Forfeited deposits may be retained to cover referee, venue, filming, and operational costs.

Match Fees – Teams must pay the required match fee(s) in full and on time. Fees may vary depending on fixture type (e.g. league, friendly, or cup). Teams will be notified of all applicable fees in advance.

Non-Payment Consequences – Failure to pay may result in suspension, expulsion, or debt recovery.

Refunds – Match fees are non-refundable unless a game is cancelled by 5s LIVE.
SECTION B – FIXTURES, ATTENDANCE & CONDUCT

Punctuality – Teams must arrive at least 10 minutes before kick-off.

Minimum Players – A minimum of 4 registered players is required to start a game.

Forfeits – Failure to field a team results in an automatic 5–0 forfeit.

Substitutions – Rolling substitutions are permitted but must not disrupt play.

Respect for Officials – The referee’s decision is final. Dissent, abuse, or threats are unacceptable.

Player Conduct – Violence, dangerous play, or abusive behaviour towards referees, players, or staff will result in suspension or expulsion.

Alcohol & Drugs – Players under the influence of alcohol or drugs will not be allowed to participate.

Banned Items – Jewellery, sharp objects, or unauthorised equipment are not permitted.

Spectator Behaviour – Teams are responsible for the behaviour of supporters and guests.
SECTION C – MEDIA, FILMING & MARKETING

Filming & Photography – All matches may be filmed, photographed, or streamed for highlights, marketing, and promotional purposes.

Consent – By participating, all players give consent to appear in media produced by 5s LIVE.

Rights – All footage and photography remain the property of 5s LIVE. Players and teams waive any rights to royalties or approval.

Social Media Use – 5s LIVE may tag teams, captains, or players when sharing highlights or promotional clips.
SECTION D – HEALTH, SAFETY & LIABILITY

Player Responsibility – Players take part at their own risk and are responsible for ensuring they are fit to play.

Medical Conditions – Any relevant medical conditions must be disclosed to your team captain before participation.

Insurance – 5s LIVE provides venue and public liability cover only. Personal injury cover is the responsibility of the player.

Injury Waiver – 5s LIVE accepts no liability for injuries, accidents, or illnesses sustained during participation, except where caused by proven negligence.

Venue Rules – All players must adhere to venue safety rules, including footwear and facility usage.

Emergency Procedures – In the event of an incident, players must follow staff and venue emergency procedures.
SECTION E – ADMINISTRATION & LEAGUE MANAGEMENT

Fixtures & Scheduling – Fixtures may be rescheduled or relocated at our discretion. Notice will be given where possible.

League Tables & Results – Results are final unless corrected by the referee within 24 hours.

Disputes – Any disputes must be raised by the Team Captain within 24 hours of the fixture.

Communication – Team Captains are the primary point of contact for all league communication.

Withdrawal from League – Teams withdrawing mid-season forfeit their deposit and any prepaid match fees.

Replacement of Teams – We reserve the right to replace teams who withdraw or are expelled.

Rule Changes – Rules may be amended mid-season for fairness, safety, or operational reasons. Teams will be notified of changes.
SECTION F – LEGAL & GENERAL

Data Protection – All personal data will be stored and processed in line with GDPR.

Privacy Policy – By registering, you agree to our Privacy Policy.

Intellectual Property – Logos, branding, and media content remain the property of 5s LIVE.

Force Majeure – We are not liable for cancellations due to events beyond our control (e.g. severe weather, venue closure, public health restrictions).

Severability – If any clause is deemed invalid, the remaining clauses remain in effect.

Entire Agreement – These Terms constitute the entire agreement between you and 5s LIVE, superseding any prior verbal or written agreements.

Variation – 5s LIVE reserves the right to vary these Terms at any time, with notice given to participants.

Jurisdiction – These Terms are governed by the laws of England and Wales. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
